Overview
Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Job Duties
  • Manage information flow in a timely and accurate manner
  • Assist in the recruitment process by posting job openings, screening resumes, and coordinating interviews.
  • Conduct onboarding and offboarding processes to ensure a smooth transition for employees.
  • Handles discipline and termination of employees in accordance with company policy.
  • Manage employee records, ensuring accuracy and confidentiality.
  • Administer benefits programs and assist employees with inquiries related to benefits.
  • Coordinate and organize training sessions for employees on various topics including but not limited to leadership and management training.
  • Assist the COO in HR policy development and implementation
  • Complete requests for verification of employment
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system.

Requirements
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Google Workspace or related software.
  • Proficiency with or the ability to quickly learn the organization's software systems such as HRIS, talent management systems, project management systems, and CRM.
